Privacy policy
This page explains what happens to your data when you book a call through an AI assistant (the API or the MCP server), the form or by email, and what happens to it before, during and after the call.
Controller
The data controller is Miłosz Filus, contact: [email protected].
What data
- your name, email address and the topic of the call,
- the chosen time slot, language and time zone,
- if you tell me: how you heard about me,
- IP address and request time, to protect against abuse,
- if you leave a message instead of booking: its text and any voice recording,
- notes and a transcript of the call, unless you tell me you don't want them.
When an assistant books through a URL, the same data is part of that address. The application does not write request addresses to its logs.
Purpose and legal basis
The data is used to arrange and hold the call and to send the confirmation, the invitation and any cancellation. The legal basis is Art. 6(1)(b) GDPR: steps taken at your request before entering into a contract. Providing the data is voluntary, but without an email address the booking cannot be confirmed.
Messages and recordings are processed so I can reply to them. The legal basis is Art. 6(1)(f) GDPR, my legitimate interest in handling correspondence, and where a message is about possible work together, also Art. 6(1)(b).
IP addresses are processed under Art. 6(1)(f) GDPR, my legitimate interest in protecting the service from spam and fake bookings.
I prepare for calls and replies with help from AI. ChatGPT has access to my calendar, which also holds booked calls (name, email and topic), and answers questions such as what meetings I have today. Gemini takes notes during the Google Meet call. Gemini also transcribes and summarises voice recordings and longer messages. The legal basis is Art. 6(1)(f) GDPR, my legitimate interest in preparing well and remembering what we agreed.
If you don't want AI notes, say so at the start of the call or reply to the confirmation email, and I won't turn them on. I can also listen to a recording or read a message myself; just say so in the message.
Recipients
- Googlecalendar, Google Meet and the Gmail mailbox that receives notifications and messages. Google sends the meeting invitation. Gemini takes notes during Meet calls and transcribes and summarises recordings and longer messages.
- OpenAI (ChatGPT)has access to my calendar, so it sees booked calls when I ask about my day. For people in the EU the service is provided by OpenAI Ireland Limited (Dublin).
- Ollamathe cloud model that runs the chat on this site (see below). According to Ollama, the content is processed only to produce the answer and is not used to train models.
- Resenddelivery of the emails with the link to confirm a booking or a message.
- Cloudflaresits in front of all traffic to the site (attack protection and faster loading), so it sees your IP address and the pages you request. It also forwards email sent to [email protected] to my inbox.
- Akamai Technologies (Linode)the server that runs the site and bookings, located in Frankfurt (EU).
Google, OpenAI, Ollama, Resend and Cloudflare may process data in the USA. Google relies on the European Commission's adequacy decision for the EU-US Data Privacy Framework, OpenAI on standard contractual clauses, and Resend on the standard contractual clauses in its data processing agreement and on the Data Privacy Framework, and Cloudflare on the Data Privacy Framework and the standard contractual clauses in its data processing agreement. Ollama processes data in the USA.
AI assistants
If you book through your own assistant (ChatGPT, Claude, Grok and others), your conversation with it happens at its provider and under its terms. I only receive the data the assistant sends in its request to the API or the MCP server.
My assistant is a different thing: it is ChatGPT with access to my calendar, as described above. I have turned off the use of my chats for training models.
Chat on the site
The "ask_" window is an assistant running on an Ollama cloud model. Your questions and the answers go to Ollama only to produce the answer. I don't store them on the server or in logs, and I don't read them. The conversation history stays in your browser until you close the tab.
You can also book a call or leave a message in the chat. The assistant then prepares a card with your details, and you send it, with the button or by replying "yes". The name, email, topic or message you send go to the booking system just like from the form, under the rules described above.
Your IP address is used only to limit the number of questions and is kept in the server's memory for at most 10 minutes. The legal basis is Art. 6(1)(f) GDPR, my legitimate interest in answering visitors' questions and protecting the service from abuse. Don't type anything into the chat that you don't want to share.
How long
- unconfirmed bookings: deleted after 48 hours,
- messages and recordings: on the server only until confirmed, at most 24 hours. Once confirmed they go to my mailbox and are deleted from the server right away. I keep them in my mailbox while we are in touch, at most 12 months after the last message,
- call notes and transcripts, and whatever about you ended up in my ChatGPT chats: like correspondence, at most 12 months after the last message,
- confirmed bookings in the service's database: 12 months after the date of the call. The calendar event stays like any other meeting; I will delete it if you ask,
- cancelled bookings: 7 days after cancelling (the period in which the same address cannot book again),
- IP addresses in rate limits: up to 24 hours,
- web server logs (IP address, time, page): 14 days.
Your rights
You can ask for access to your data, correction, deletion, restriction of processing and portability. You can object to the processing of your IP address. An email to [email protected] is enough.
You also have the right to lodge a complaint with the Polish supervisory authority, Prezes Urzędu Ochrony Danych Osobowych (ul. Stawki 2, 00-193 Warszawa).
I make no automated decisions about you and do no profiling.
Cookies and browser storage
The site only stores your language choice (the lang cookie) and appearance (browser storage), and the chat keeps the conversation in the tab's storage until you close it. No analytics, no ads.
